Year 2001 Contracts
This past month has been a very busy one both for your
Board and for the Association Manager. We have dealt with several contractual topics whose short descriptions do not reflect the large amount of time that has been spent on them, especially by Rod Englert, Board President, and Deanna Knox, our Property Manager.
First of all, we have written, reviewed and approved a contract for Property Management services and a separate contract for Maintenance Supervisor services. This is a departure from the traditional single contract form Property Management, such as we had in place with Ridgepine, and later with Elite Management Services. We believe that this new format will be both cost-effective and will ensure that all functions, routine and emergency maintenance, accounting and management, will be performed to high standards. Under this format, Deanna Knox, as Elite Management Services, is performing both accounting and management functions for us, while a licensed contractor, Ed McCoy, has assumed responsibility for maintenance supervision. Deanna, at Elite Management Services, will be the primary contact for Association affairs; she in turn will coordinate closely with Ed and with the board.
The
Roofing Project
Last fall, former board member Ray Cook prepared a Request for Proposal (RFP) to submit to roofing contractors in order to solicit bids for our roof replacement project. The RFP was sent out to several contractors in December. We had hoped to have responses in before the end of the year. However, this goal proved to be a little too optimistic, given the holiday season.
At the end of January, the board reviewed the bids that we had received, and chose a contractor to whom to award the bid. As we agreed, we asked the contractor to bid both a 40-year composition material and a 26-gauge standing seam metal; the final choice of material is to be by majority vote of the ownership. Deanna is preparing a packet of information, including costs in 2001 dollars, to be sent to each owner, along with a ballot so that each owner can indicate his choice of material. We hope to have that packet sent to the ownership within a week.

possible, so that we can schedule work to begin this spring..
Color choices for roof materials are limited by SROA Design Standards. SROA directs owners in Sunriver to choose colors that blend with the forested setting; they ask us to avoid light colors and bright colors. Should we choose a color that is not acceptable to SROA it could further delay approval for our project. The board is aware that many owners have distinct color preferences, but because of the impact that a non-acceptable color choice could have on the final approval of our project, we prefer not to submit this item to a vote of the membership, since this could further delay roof replacement. If you have a preference that you would like considered, please submit it to Deanna. We assure you that we will attempt to
accommodate owners preferences if at all possible.
Last year when we examined the remaining life time of our roofs, we were made aware that the remaining life of our roofs was severely limited. We are also aware that our capital reserve fund was not
sufficient to replace of all roofs within a single year. Thus, we committed to a roof replacement project that would span between three and five years, depending upon costs and financing options.
Once the material to be used on our project has been selected, our next steps involve submitting our overall plan to the SROA design committee for approval. Following that step, we then submit to SROA the details of the plan, specifically, which buildings will be roofed this year, along with the anticipated schedule to complete the project.
As soon as we have tallied the ballots on choice of material, we will submit our overall plan to SROA Design committee. At the same time, we will contact you again with additional information about options for scheduling and payment for our project. ![]()
